Job Description

Overview:

We are seeking a highly organized and proactive Human Resources Assistant to support day-to-day HR operations. This role involves a blend of administrative responsibilities, compliance tracking, and employee engagement support. The ideal candidate is detail-oriented, communicative, and passionate about contributing to a positive workplace culture.

Key Responsibilities:

  • Support daily HR operations, including maintaining employee records and processing documentation.
  • Review and submit semi-monthly, monthly, and quarterly invoices and debit notes to internal departments.
  • Generate payroll-related and other HR reports as needed.
  • Monitor and respond to notices from the Department of Labor and other federal/state agencies to maintain compliance.
  • Conduct regular audits of employee files and ensure HRIS and document systems are accurate and up to date.
  • Complete and verify I-9 forms for new hires in compliance with federal guidelines.
  • Maintain HRIS data integrity and ensure proper documentation across all applicable jurisdictions.
  • Handle sensitive information with discretion, ensuring confidentiality at all times.
  • Assist in the recruitment process, including resume screening, interview coordination, and initial candidate outreach.
  • Organize and support internal employee engagement initiatives (e.g., birthdays, team events, annual celebrations).
  • Provide general administrative support to the HR team and contribute to special projects as needed.

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in HR or a related field preferred.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Detail-oriented with the ability to work collaboratively in a team environment.
  • Demonstrated ability to handle confidential information with professionalism.

Preferred (but not required):

  • Prior office administration or HR internship experience.
  • Familiarity with HRIS systems (e.g., ADP) or creative platforms (e.g., Canva) for engagement initiatives.
